Position Summary

The Membership Dues Accounts Assistant receives, records, and reconciles as well as produces reports on membership dues accounts, identifies deficiencies in dues received, and collects outstanding dues as required.

Requirements

Education & Experience

  • College certificate (2-year program) or technical courses.
  • Up to 2 years of relevant experience.
  • Note: Equivalent combinations of education and/or experience are considered.

Key responsibilities

  • Enters information from bargaining agent notice of change forms (340-51) received by email into individual accounts. Verifies that the information is correct. Verifies refund requests before approving and sending to the departments.
  • Investigates and resolves irregularities in union dues by performing individual account reconciliations and addresses discrepancies by communicating with the departments.
  • Posts dues arrears payments received by direct deposit or cheque as well as refunds to individual member accounts.
  • Responds to inquiries received from compensation advisors regarding union dues discrepancies.
  • Provides membership relations support for Associate members including sending out annual letters, tax receipts, and maintaining database information on these members.
  • May perform other duties as assigned.

Other skills and abilities

  • Knowledge of CAPE’s financial systems, databases, planning, reporting, and accountability structure.
  • Knowledge of Microsoft applications such as Outlook, Excel and Word. Experience with database management.
  • Knowledge of operational procedures of CAPE’s National Office.
  • Knowledge of the federal government pay system with regard to union dues and arrears pay deductions procedures.
  • Basic knowledge of the roles, responsibilities, management processes and requirements relating to the collection and payment of member dues of the Treasury Board Secretariat, the Public Service Commission, the Library of Parliament, the Translation Bureau, and all other federal departments and agencies which employ Association members.
  • Ability to work independently and with attention to details.
