Position Summary

The Finance Assistant provides administrative, coordination, data-entry, documentation, and basic financial processing support to the Finance Department. The position supports the Director of Finance and IT by helping maintain accurate financial records, coordinating documentation for payroll, budgeting, audits, Finance & Audit Committee meetings, and membership-related financial administration. 

The position does not independently approve expenditures, interpret complex financial policy, make payroll entitlement decisions, or exercise supervisory authority. The decisions made by this role are limited and complex financial, payroll, benefit, pension, procurement, budget, or collective agreement interpretation questions are typically escalated. 


Requirements 

Education & Experience

  • College diploma or certificate in accounting, business administration, office administration, finance, or a related field.

  • Two to four years of experience in financial administration, accounting support, payroll support, office administration, or a related role. 

     

Note: Equivalent combinations of education and/or experience are considered.


Key responsibilities  

  • Provides administrative and coordination support to the Director of Finance and IT, including scheduling, tracking deadlines, organizing records, and maintaining finance-related files. 

  • Follows existing protocols and documentation, while assisting with bank and credit card reconciliation, and the organization of supporting records. 

  • Supports payroll and leave administration by collecting and organizing documentation, entering or verifying routine information in applicable systems, and identifying missing or incomplete information for follow-up. 

  • Contributes to the maintenance of employee payroll, leave, benefit, and pension-related records under the direction of the Payroll and Accounting Officer. 

  • Responds to routine employee inquiries related to forms, deadlines, documentation requirements, and basic finance processes, and refers complex payroll, benefit, collective agreement, or financial policy questions to the appropriate Finance staff member. 

  • Assists with monthly, quarterly, and year-end finance processes, including organizing spreadsheets, reconciliations, reports, supporting documents, and audit files. 

  • Provides administrative support for the annual budget process by collecting information from managers, maintaining budget templates, tracking submissions, and organizing draft materials for review. 

  • Supports preparation for Finance & Audit Committee meetings, including compiling meeting packages, confirming attendance, arranging logistics, coordinating translation or technical services, and preparing draft minutes when assigned. 

  • Maintains accurate electronic and paper filing systems for financial records, confidential employee files, audit documentation, vendor records, and Finance Committee materials. 

  • Assists with basic research, data compilation, and report preparation for the Director of Finance and IT, Payroll and Accounting Officer, Finance Committee, or audit purposes. 

  • Helps ensure that finance documents are stored securely and handled in accordance with confidentiality, privacy, and internal financial control requirements. 

  • May perform other related duties as assigned.  

     

Other skills and abilities 

  • Working knowledge of basic accounting, payroll support, reconciliation, and financial recordkeeping practices. 

  • Strong attention to detail and accuracy in data entry, filing, tracking, and document preparation. 

  • Ability to handle confidential financial, employee, payroll, and membership information with discretion. 

  • Ability to use spreadsheets, word processing, email, database tools, financial systems, and related office software. 

  • Ability to organize competing priorities, meet deadlines, and follow established procedures. 

  • Sound judgment in identifying issues that require escalation. 

  • Strong interpersonal skills and ability to provide professional service to staff, managers, vendors, members, and committee participants. 

  • Ability to work independently and as part of a small multidisciplinary team.
