Position Summary

Reporting to the Director of Communications, Public Affairs, and Linguistic Services, the Communications Coordinator plays a key role in supporting CAPE’s communications activities and ensuring members receive clear, accurate, and timely information. As a member of the Communications Team, the Coordinator works collaboratively across the organization to plan, produce, and coordinate communications products and initiatives that strengthen CAPE’s visibility and connection with its membership.

The Communications Coordinator contributes to the development and delivery of a wide range of communications outputs including written content, web and email updates via Action Network, member notices, briefing materials, and promotional collateral for campaigns and events. The role includes coordinating timelines, supporting cross-team workflows, and ensuring that all materials align with CAPE’s strategic priorities, messaging, visual identity, and commitment to accessibility in both official languages. 

The Coordinator also assists with preparing and scheduling online content, monitoring member engagement, and supporting the maintenance of CAPE’s website and digital channels.

Additionally, the Communications Coordinator provides planning support for major national initiatives, including the Annual General Meeting (AGM). This includes coordinating communications, production timelines, and collaboration with various teams.

This role requires strong writing and editing abilities in both official languages, exceptional organizational and project coordination skills, and the ability to work proactively and collaboratively in a fast-paced environment. The ideal candidate is detail-oriented, versatile, and comfortable managing multiple priorities while contributing to the clarity, consistency, and impact of CAPE’s communications.


Requirements 

Education & Experience

  • College diploma in communications, marketing, journalism, public relations, digital media, or a related field.
  • Minimum of three (3) of experience in digital communications, marketing, or public affairs, preferably in a bilingual, unionized, non-profit, government or advocacy organization.
  • Bachelor’s degree in a related field considered an asset.


Key responsibilities  

  1. Digital Content and Copywriting
    1. Develop, write, and edit bilingual (English/French) digital content for email campaigns, web pages, social media, and online publications.
    2. Ensure all content is clear, accurate, engaging, and aligned with CAPE’s brand and strategic objectives.
    3. Translate complex or technical information into compelling narratives for diverse audiences.
       
  2. Member Communications and Email Campaigns
    1. Manage CAPE’s member email program end-to-end, including drafting, formatting, scheduling, sending, and logging campaigns in Action Network.
    2. Coordinate with internal contributors to ensure content is reviewed, bilingual, complete, and compliant with CAPE standards.
    3. Maintain the email planner and tracker to ensure timely approvals and scheduling.
    4. Monitor delivery, engagement, and performance metrics to support reporting and continuous improvement.
       
  3. Website Management and Maintenance
    1. Update, maintain, and enhance CAPE’s bilingual website using Drupal (or another CMS), ensuring accuracy, usability, and alignment with organizational priorities.
    2. Coordinate updates with internal teams to keep web content current and relevant.
    3. Support improvements to website structure, layout, navigation, SEO, tagging, and metadata to optimize discoverability and member experience.

       
  4. Project Planning, Tracking, and Coordination
    1. Coordinate digital communications projects, maintaining timelines, production schedules, and task lists.
    2. Use project-tracking tools to record progress, manage deadlines, and support reporting to leadership.
    3. Collaborate with internal teams and external partners to ensure deliverables are completed on time and on brand.
       
  5. Cross-Team Collaboration and Support
    1. Work collaboratively across all teams to support integrated campaigns, corporate communications, events, and member engagement initiatives.
    2. Provide advice on digital tools and document formatting.
       
  6. Monitoring, Evaluation, and Continuous Improvement
    1. Track analytics and performance indicators for email, website, and social media channels.
    2. Use data insights to refine strategies, improve reach, and strengthen member engagement.
    3. Stay informed on trends in digital communications, and online advocacy to support continuous improvement.
       
  7. Events and Digital Engagement Support
    1. Support cross-unit coordination and digital components of major events such as the AGM, town halls, and campaigns.
    2. Lead or assist with digital promotion before, during, and after events, including live engagement (e.g., chat, Q&A, socials, streaming support).
    3. Capture and repurpose event content (quotes, visuals, testimonials) for ongoing digital storytelling and engagement.
       
  8. Research, Innovation, and Digital Tools
    1. Monitor emerging trends and technologies in digital communications, including ethical and responsible uses of AI, automation, and analytics.
    2. Identify opportunities to enhance CAPE’s digital capacity through new tools, platforms, or workflows.
    3. Collaborate with internal teams to pilot and implement innovative approaches while upholding CAPE’s standards for privacy, and ethics.
       

Other skills and abilities 

  • Proficiency in Drupal, Action Network, Microsoft Dynamics, and Microsoft Word, Excel and other Microsoft applications, and Canva.
  • Ability to manage and navigate social/photo/video media platforms and such as Instagram, Facebook, X, LinkedIn, YouTube, Flickr, among others. 
  • Up to date on AI tools and innovations shaping the digital communications landscape.
  • Strong understanding of digital communications, and social media management.
  • Exceptional writing and editing skills in one of Canada’s two official languages, with strong comprehension of the other.
  • Superior project management skills and exceptional attention to detail. 
  • Demonstrated ability to plan, coordinate, and execute digital projects under tight deadlines.
  • Strong attention to detail, organization, and quality control.
  • Experience working collaboratively across teams in a bilingual, unionized, or advocacy-driven environment is an asset.
