Position Summary

The IM and IT Coordinator will assist the IM and IT Advisor to provide information management (IM), information technology (IT), and administrative services to the management and staff of CAPE, under the direction of the Executive Director.

Requirements

Education and Experience

  • College diploma or undergraduate degree in Information Management, Information Technology, or a related discipline in a relevant field.
  • Two to four years of work experience in the Information Management and Information Technology field.
  • Note: Equivalent combinations of education and/or experience are considered.

Key Responsibilities

  • Serves as support for all IM and IT projects of the Association and assists with the resolution of CAPE IM and IT issues. 
  • Provides IM technical analysis and assistance to CAPE management and staff to help with the resolution of membership issues and other related tasks. 
  • Improve existing systems and develop new functionalities to better support staff. Develop functionalities for staff and members (e.g., power apps, etc.) 
  • Applies IM expertise and analysis to administer SharePoint for the CAPE staff to: 
  • Ensure users are in the appropriate roles for security access, as approved and signed off by the Executive Director; 
  • Work with the General Counsel and Director of Policy to establish document storage methodology, guidelines on document management and following protocols on auditing, etc. 
  • Serves as the CAPE junior technical support on the administration of Microsoft Dynamics (MD) under the supervision of the Executive Director; assists staff with technological needs related to events, membership management, communications, and case management; and acts as a provider of technical expertise to CAPE management and staff.
  • Serves as technical support and project assistant for the communications team, namely for the implementation and management of content on the CAPE website. 
  • Carries out IM/IT technical and administrative analysis for tracking all software used within CAPE. 
  • Monitors the dates and conditions for the renewal of software and other licences required for operational purposes. 
  • Contributes expert IT project management and administrative advice to help implement tracking progress of projects, including: 
    • Installing and updating software; providing training to new users; digitizing old documents and establishing protocols for digital library; helping with vote processing for the Association; addressing IM-related issues and other various IM-related ad-hoc requests. 
  • Willing/able to provide their services outside of the normal working day (evenings and weekends). 
  • May perform other duties as assigned. 

Other skills and abilities

  • Strong organizational, interpersonal, project management, and critical thinking skills. 
  • Ability to provide CAPE users with support, training and access to modules within Microsoft Dynamics (MD). 
  • Professional, in-depth knowledge of the theories, principles and practices of computer science, in particular of IM and IT. 
  • Experience with web-design applications and software is an asset. (e.g. Bootstrap, CSS) 
  • Professional, in-depth knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and other software used by CAPE. 
  • Professional, in-depth knowledge of SharePoint, MD, and their application and potential for CAPE’s operational requirements. 
  • Professional, in-depth knowledge of the IM/IT community of the unions representing employees in the federal government and in the broader union network across Canada, as well as the IM/IT community of the Public Service. 
  • Professional knowledge of operational procedures of CAPE’s National Office and of the respective responsibilities of internal departments and teams. 
  • Knowledge of the vision, mandate, objectives, culture, and governance structure of CAPE.
